Terms & Conditions
1. Definitions
In these Terms & Conditions:
“Celebrant” refers to Stephanie Ward-Wilson, Heart Magick Celebrant.
“Client” refers to the individual(s) booking celebrant services.
“Ceremony” refers to the event for which services are provided, including but not limited to weddings, vow renewals, naming ceremonies, and family celebrations.
“Agreement” refers to the confirmed booking between the Celebrant and the Client.
1. Booking & Confirmation
2.1 A booking is confirmed once:
The Client accepts these Terms & Conditions; and
The required booking fee/deposit has been received.
2.2 The booking fee is non-refundable unless otherwise stated in writing.
2.3 Dates will not be reserved without receipt of the booking fee.
1. Fees & Payment
3.1 The total fee for services will be outlined in the quotation or booking confirmation.
3.2 Unless otherwise agreed:
A non-refundable deposit of 20% is payable upon booking.
The remaining balance must be paid no later than 30 days before the Ceremony.
3.3 Additional services requested after booking may incur additional charges.
3.4 Late payments may result in cancellation of services or additional fees.
1. Services Included
Services may include:
Initial consultation(s)
Ceremony planning meetings
Preparation of a personalised ceremony script
Communication via email/phone
Officiating the Ceremony
Attendance at a rehearsal (if agreed)
Specific inclusions will be detailed in the Client’s booking confirmation.
1. Client Responsibilities
The Client agrees to:
Provide accurate and complete information required for the Ceremony.
Respond to requests for information in a timely manner.
Obtain all necessary licences, permissions, and documentation required by law.
Ensure guests and venues behave in a safe and respectful manner.
The Celebrant is not responsible for delays or issues caused by incomplete or incorrect information supplied by the Client.
1. Changes to Ceremony Details
6.1 Requests for changes to the date, venue, or ceremony content should be made in writing as soon as possible.
6.2 The Celebrant will make reasonable efforts to accommodate changes but cannot guarantee availability.
6.3 Significant changes may incur additional fees.
1. Cancellation & Postponement
By the Client
7.1 If the Client cancels:
The booking fee/deposit remains non-refundable.
Additional cancellation charges may apply depending on notice provided.
More than 60 days before ceremony: deposit retained only.
30–60 days before ceremony: 50% of remaining balance payable.
Less than 30 days before ceremony, once draft script has been received: full balance payable.
7.2 Postponements may be treated as cancellations if a mutually acceptable new date cannot be agreed.
By the Celebrant
7.3 In the unlikely event the Celebrant is unable to perform the Ceremony due to illness, emergency, or unforeseen circumstances:
The Celebrant will make reasonable efforts to arrange a suitable replacement; or
Any monies paid (excluding completed work already delivered) will be refunded.
1. Force Majeure
Neither party shall be liable for failure to perform obligations due to events beyond reasonable control, including but not limited to:
Severe weather
Natural disasters
Government restrictions
Pandemic-related disruptions
Venue closures
Power or transport failures
1. Photography, Video & Marketing
9.1 The Client grants permission for the Celebrant to use photographs, videos, testimonials, or excerpts of the Ceremony for promotional purposes unless the Client objects in writing before the Ceremony date.
9.2 The Celebrant will respect requests for privacy.
1. Intellectual Property
All ceremony scripts, readings, and written materials prepared by the Celebrant remain the intellectual property of the Celebrant unless otherwise agreed in writing.
Materials may not be reproduced, distributed, or commercially used without permission.
1. Limitation of Liability
11.1 The Celebrant shall not be liable for:
Indirect or consequential losses;
Venue or supplier failures;
Guest behaviour;
Delays outside the Celebrant’s reasonable control.
11.2 Liability shall be limited to the total fees paid by the Client.
1. Audio, Music & Venue Requirements
The Client is responsible for ensuring:
The venue is suitable and safe;
Appropriate sound equipment is available if required;
Necessary permissions for music or performances are obtained.
1. Data Protection & Privacy
Personal information supplied by the Client will be used solely for the purpose of providing celebrant services and maintained in accordance with applicable data protection laws.
